Privacy policy
This page explains what personal data we collect when you book or receive an inspection, why, who sees it, and what your rights are. We collect what the service needs and nothing more.

Who is responsible for your data
The data controller is [Company legal name], registration number [number], [address], trading as PropertyCheck Malta. Questions about privacy go to privacy@propertycheck.mt.
What we collect
When you book: your name, email address and phone number, the property address, the property size and visit type, and, if you were referred by an agent, the agent's code. Payment card details are entered directly with our payment provider, Stripe, and never reach our systems; we receive confirmation that a payment succeeded and the last four digits of the card.
For the report: the names and email addresses of the landlord and tenant, so both can receive, comment on and sign it. During the visit the inspector photographs the property. We aim to photograph the property, not people or their private belongings, but a photograph of a room may incidentally show personal items.

Why we use it
To carry out the inspection and issue the report you booked (performance of a contract). To keep the report available to the parties for the length of the tenancy and any dispute that follows it (our legitimate interest in providing a service that is only useful if it lasts, and the parties' interest in relying on it). To meet our accounting, tax and legal obligations. To pay referral commission to agents and to answer your questions.
We do not sell personal data and we do not use it for advertising.
How long we keep it
Reports, including photographs, are kept for [the duration of the tenancy plus 5 years], because their whole purpose is to be available if a dispute arises after the tenancy ends. Booking and payment records are kept for 10 years to meet Maltese accounting requirements. Contact form messages are deleted within 12 months of the last exchange.
Your rights
You can ask us for a copy of the personal data we hold about you, ask us to correct it, ask us to delete it where we no longer need it, object to processing based on our legitimate interests, and ask us to restrict processing while a question is resolved. Email privacy@propertycheck.mt and we will reply within one month.
Note that a report is a record of a property on a given day and is shared with the other party to the tenancy. We can correct a factual error in it, but we cannot delete or alter a locked report at one party's request while the other party still relies on it.
If you are unhappy with how we have handled your data you can complain to the Information and Data Protection Commissioner, idpc.org.mt.
