Booking and the visit
Who can book an inspection?
Landlords, letting agents and tenants. Landlords and agents usually book the check-in and check-out as a pair; tenants book a single move-in report. Whoever books receives the invoice, and both parties receive the report.
Do both the landlord and tenant need to be there?
No. Only whoever gives us access needs to be there. The report is then issued to both parties to review and sign electronically within 7 days. The signature, not a joint walkthrough, is what makes the record binding.
How long does the visit take?
Usually 30 to 40 minutes for an apartment, longer for a large house or villa. Whoever holds the keys lets the inspector in and can leave or stay as they prefer.
How far in advance do I need to book?
A few days is ideal. If you need a visit within 48 hours, add the rush booking option at checkout and we will confirm the slot.
Do you cover Gozo?
Yes. All of Malta and Gozo.
The report
What is in the report?
Room-by-room condition and cleanliness ratings, dated photographs, meter readings, key count and a declaration page for signatures. A check-out report also compares every line against the check-in and assigns responsibility for any change: fair wear, damage or cleaning.
How and when do I receive it?
By email, to every party, within 24 hours of the visit. It stays yours; there is no account to log into and nothing expires.
What if the landlord disagrees with the report?
They flag the specific line during the 7-day window and state why. That objection is recorded alongside the original finding, which is stronger evidence than either version alone.
What happens after the 7-day review window?
The report locks. Any comments either side made are recorded alongside the original findings, and the locked version is the one you rely on at the end of the tenancy.
Disputes and the law
Is an inventory report legally required in Malta?
Yes. Since Act XX of 2024 amended the Private Residential Leases Act, every private residential lease in Malta must include an inventory signed by all parties, with photographs and short descriptions recording the condition of the property and any furniture or appliances, even if the property is let unfurnished. The Housing Authority needs it to register the lease. The law does not require the inventory to be independent, so a landlord can produce their own. Our check-in report satisfies the requirement and gives both sides a record that neither of them wrote.
Can I use this at the Housing Authority Adjudicating Panel?
That is what it is built for: a dated, photographed record from an independent third party, with an audit trail showing when it was issued and how each party responded.
I already take photos on my phone.
Keep doing that. The difference is that your photos are taken by one side of the tenancy, and a panel treats them that way. Ours are dated, taken by a third party with no stake in the deposit, and signed by the tenant too.
My agent does this for me.
Your agent acts for you, which is exactly why their inventory carries less weight in a dispute. We act for neither side. That is the whole value of an independent report.
For tenants
Do I need my landlord’s permission?
No. It is your home for the length of the lease and you can have anyone you like inspect it. We do let the landlord know a report exists, because a countersigned one protects you better.
Will this annoy my landlord?
In practice, rarely. Since Act XX of 2024 the lease has to include a photographed inventory anyway; most landlords are glad someone independent has produced one, and it protects them as much as you.
What if they refuse to countersign?
The report still stands as a dated, third-party record, and the refusal is noted in its audit trail. A panel can draw its own conclusions from a landlord who declined to confirm the condition of their own property.
I have already moved in. Am I too late?
Sooner is better, but a report in week two still beats nothing. Book the earliest slot you can and we will date the report exactly as we find things.
Pricing and payment
How do I pay?
By card at the time of booking. The price you see is the price you pay, VAT included.
Can I change the date?
Yes, as often as you need, free of charge, as long as we hear from you at least 48 hours before the visit.
Can I get a refund?
Bookings are not refundable, because a booking reserves a paid inspector for a specific slot. Reschedule instead: with 48 hours notice it costs nothing.
Is it worth it on a €600-a-month flat?
One withheld deposit that you cannot prove, or one that the tenant successfully claims back, costs more than the bundle. On a small flat the report is a fraction of a single month of rent.
